Hallmaster to Xero integration tested and reviewed

Here, we test out the Hallmaster to Xero integration.

We tried it & tested it - and this is what we really think..

 

 

 The TASK:

 

We love it when our clients set up a new system and ask us to integrate it with Xero. Our clients have recently started using Hallmaster for all of their bookings, and wanted to know, can Hallmaster invoices be sent to Xero automatically?

in a nutshell:

  • Unfortunately, there’s no direct integration between Hallmaster and Xero at the moment - it’s currently an export/import job. Which means there’s a daily job of exporting Hallmaster invoices for the day, and then importing them into Xero.

  • Once imported, the invoices will appear in draft invoices in Xero, with the key fields (like name, date, invoice number, description, amount) all pre-filled based on the import.

  • Once you’ve allocated account codes to all activities and charges in Hallmaster, then the account code will be pre-filled too. 

  • If you use tracking, you’ll need to manually select the relevant tracking categories, as there does not seem to be a facility to set these up in Hallmaster.

THE STEP BY STEP PROCESS TO FOLLOW:

  • In Hallmaster, go to the Reports menu on the left. 

  • From here, you should see a tab for XERO. 

  • Select this tab, and you’ll see two reports in the list. 

  • Select the second one in the list called Export Invoices to Xero – this report has already been formatted to be compatible with Xero. 

  • Once you’ve run the report, press the Export to Excel button to save a spreadsheet of the data. 

  • Ensure that the dates are formatted as DD/MM/YYYY.

  • save this as a CSV file.

  • Go to Xero>Business>Invoices and click Import.

  • Then click Browse, and select the CSV file you downloaded earlier.

  • The invoices will be in your draft tab in Xero, awaiting your approval.

our thoughts:

Although the lack of a true integration was disappointing, we found the export/import to be relatively smooth running. And it helps to follow the steps in order, especially the date formatting!
